Example (fictional data)

Independent support worker with six plan-managed participants. After each shift she logs date, hours and the activity. On Friday the week's invoices are ready: each with the support item number, the agreed rate within the price cap, and the participant's NDIS number. They go to four different plan managers in one tap, and two unpaid invoices from last month are flagged.

How it works

Independent support workers and sole traders who deliver NDIS supports to plan-managed participants are paid by the participant's plan manager. Every invoice has to carry the right details: the participant's name and NDIS number, the date of each support, the support item number and a rate that does not exceed the price cap.

Getting this right by hand takes time. The NDIS price guide changes, support item numbers are long, and each participant may have a different plan manager with its own email address. An invoice with a wrong code or a rate above the cap comes back, and payment waits.

The app turns your shifts into correct invoices. You log each shift with the date, start and finish time and the activity. The app picks the matching support item from the current NDIS price guide and applies the rate you agreed with the participant, within the price cap.

Each participant's details are saved once: name, NDIS number, the plan manager and their email address, and the rates in your service agreement. After that, invoicing is a matter of choosing the week and checking the lines.

Invoices are created per participant and emailed straight to the plan manager as a PDF, with a copy for your records. If a plan manager asks for a different format or address, you change it once and every later invoice follows.

Weekend, evening and public holiday rates are applied from the shift times, and travel can be added where your agreement allows it. Totals per participant are shown before you send, so mistakes are caught early.

The app keeps track of what has been paid. Invoices still unpaid after the plan manager's usual time are flagged, and you can resend them with one tap.

When the NDIS publishes a new price guide, the support items and caps are updated, and the app warns you if one of your agreed rates is now above the cap.

At the end of the financial year you have every invoice and payment in one place, ready for your accountant or your own tax return.

Getting started takes an evening: your ABN and bank details, your participants and their plan managers. It works in the browser on a phone, tablet or computer, with nothing to install.

The app is built for independent support workers and sole trader NDIS providers in Australia working with plan-managed participants. It is in preparation: we are checking whether providers need it before it is built.

The app prepares invoices from your records; the provider remains responsible for the services delivered and for following NDIS pricing rules.
